This role is based in One New Change, London - 5 days per week permanently.
You will be responsible for organising and coordinating administration duties and office procedures. The job holder will create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety.
Responsibilities of the role include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to the team. Ultimately, the job holder should ensure the smooth running of the office and help to improve Company procedures and day-to-day operation.
Key Responsibilities
- Take ownership of general office duties, including maintenance, mailing, supplies, equipment and bills.
- Schedule meetings and appointments.
- Organise the office layout and order stationery and equipment.
- Maintain the office condition and arrange necessary repairs.
- Partner with HR to update and maintain office policies as necessary.
- Organise office operations and procedures.
- Liaise with IT around supply and maintenance of office equipment.
- Ensure that all items are invoiced and paid on time.
- Provide input into contract and price negotiations with office vendors, service providers and office lease.
- Manage office budget and ensure accurate and timely reporting.
- Provide general support to visitors.
- Assist with the onboarding process for new hires.
- Address colleague queries regarding office management issues e.g. stationery, hardware and travel arrangements.
- Liaise with facility management vendors, including cleaning, catering and security services.
Plan in-house and off-site activities such as conferences and social events.
