This role reports to the Corporate Property Planning & Strategy Manager. The role is to deliver the best level of customer service to the wider Corporate Property team ensuring that all data is maintained, analysed, and used in the most efficient way to help the business achieve the goal of having an efficient and understood property footprint.  Aiding in the provision of high-quality business case development and ensuring that all schedules and tasks are done in a timely manner to the highest quality. Whilst this is a remote-based role it is assumed that the appropriate candidate will be able to travel as appropriate
 
Key Responsibilities:

Maintenance of Property Information

  • Key contributor to the implementation of property policies and procedures.
  • To manage and maintain all property schedules as appropriate
  • To develop records management processes and policies
  • To develop and support reporting processes and ensure the adequate backup process is in place for all central property information
  • Central property team master schedule to be always kept up to date and audited regularly to ensure accuracy – liaising with the Estate Manager to ensure all rent review, service charge review dates etc. are known and recorded accurately
  • To set up and maintain automated data processes
  • To manage and maintain the corporate property team’s central document repository
  • Monitor and audit data quality
Evaluation and Interpretation of Property Information
  • Inputs into property strategy and supports the management team in the development and execution of policy
  • To produce and track key performance indicators and as an Individual contributor provide high-level professional advice and interpretation in a specialised area of property data
  • Identify, evaluate and implement external services and tools to support data validation and cleansing
  •  Manager level role supporting all members of the Property Leadership Team
  • Provide sector and competitor benchmarking
  • Liaise with internal and external clients to fully understand and interpret data content so needs to be able to guide and persuade with diplomacy and pragmatism
  • Action ad-hoc analysis as and when required in terms of property strategy
  • Identify areas to increase efficiency and automation of processes
  • Gather, understand and document detailed business requirements using appropriate tools and techniques
  • Design and carry out surveys and analyse survey data
  • Manipulate, analyse and interpret complex data sets relating to the employer's business
  • Mine and analyse large datasets, draw valid inferences and present them successfully to management using a reporting tool.
  • Use data to analyse and evaluate actual performance against planned
    performance of projects
Utilisation of Property Information
  • Work collaboratively to develop reports covering all global destinations to assist and support the team in achieving the team goals and objectives
  • Prepare reports for internal and external audiences using business analytics reporting tools
  • Create data dashboards, graphs and visualisations
  •  Shares knowledge and learning and contributes to achievement of functional objectives and seen as an integral member of the Property team
Manages Supplier and Purchase Order Process
  • To set up the Property Process linking into the implementation of new suppliers through our Procurement Channels globally as required
  • Raise and track all Purchase Order requests as appropriate and liaise with suppliers to ensure all invoicing is accurate and receipted in a timely manner
  • Work with the Finance team to ensure all Purchase Orders are booked to the correct codes and have budgetary approval prior to requests being raised/submitted
  • Schedule global team meetings and record all actions and minutes as appropriate following up actions etc.

Corporate Real Estate Strategy

  • Preparation of business cases and stakeholder engagement
  • Identify the impact on key business indicators of strategic proposals
  • Undertaking option appraisals for real estate strategies
  •  Participating in all aspects of property management as required
